Turn notes and previous minutes into a record with identified actions and pending decisions.
Prepare the documents
Notes or transcript, date, confirmed attendees, labelled photos and last approved minutes.
Name files with dates and revision IDs. Identify approved documents and templates. The pack supplies a method; project facts must come from your documents.
Organize the work with ChatGPT
Group facts by trade and separate observations, reported statements, proposals and explicit decisions. Preserve IDs from previous minutes. Link each action to its source, confirmed owner and known date. An action missing from new notes is not closed.
A fictional example to test
Fictional example: action A07 concerns a leak still open in the previous minutes. New notes do not mention it. Carry A07 forward as open; a repair proposed “soon” is not a firm deadline.
Review the deliverable
Compare attendees, attribution and dates with the notes. Check carried-forward actions and pending decisions before circulation.
