A one-off visit produces observations, photos and questions. Its report should make them usable without turning impressions into certainty. When working with Claude, first define the visit's purpose: inspecting paint does not support conclusions about the entire site.
Organize notes by observation
Provide the date, times, accessible areas and people encountered. Separate what you saw, what a contractor reported and what still needs checking. Give observations and photos simple references so readers can connect them.
The pack structures Word into seven sections: visit context, participants, progress, observations, actions, photographic references and distribution. It specifies photo references; listing a photo does not establish that the image is embedded in the document.
Connect a finding to an action
Fictional example: a hall visit reveals marks around a door. Photo P01 will be supplied later and no contractor representative is present. The report can describe the marks and propose a joint check. It cannot establish their cause, contractor agreement or completed repairs.
Each action needs a purpose, a known owner and an agreed deadline. Where information is missing, request fields marked for confirmation. A date suggested by Claude should remain a proposal, clearly separated from an accepted commitment.
Review the document and arrange follow-up
Check locations, times, attendees and image references. Every action should point to an identifiable observation. Open Word to inspect tables, page breaks and recipients before circulation.
This report does not replace meeting minutes or a formal handover record. If an observation needs tracking across visits, transfer it with its ID to the defect register, then document later checks there.
